Accounting can be both complex and overwhelming, and it’s no wonder that many business owners view it as a necessary evil. It’s also no surprise then, that a program such as Quickbooks, which greatly simplifies and demystifies business accounting, has become such a huge hit. Ask any business owner what program they use for accounting, and there is a high likelihood that their program of choice is Quickbooks.
There was a time, not long ago, when many accounting professionals derided Quickbooks as being too simplistic and incapable of handling complex accounting tasks. We believe this is no longer the case, as the modern version of Quickbooks is extremely robust, and available in industry-specific versions tailored to the unique needs of various businesses. Moreover, the software is designed to handle just about every conceivable accounting need businesses might have.
A New Solution For Payroll
You no longer have to spend hours figuring out payroll on your own or pay hefty fees to companies like Paychex. The latest versions of Quickbooks (2009 or newer) can be set up to process payroll through an online payroll service. Once your payroll account is set up, you can process payroll using a very simple, step-by-step process where you enter the hours for each employee and pay them using checks or direct deposit. Quickbook’s payroll service also handles tax forms for you, and all you have to do is transmit the forms online, or print them out on your computer and send them by mail.
Should You Use An Online or Offline Version of Quickbooks?
Quickbooks offers an online version of its software, which can be accessed through a browser using a secure login. The online service uses the monthly subscription model, and the user’s data is hosted remotely on Intuit’s servers. All patches and updates for the online version are free.
So should your business be using the online version? There are many reasons to do so, but in a nutshell, if you are a single user using Quickbooks from a single computer, the online version is not necessary. On the other hand, if you have multiple users who need the convenience of being able to access their files from different locations, then Quickbooks online is definitely the way to go.
Tips on Learning Quickbooks:
While it’s possible to learn Quickbooks using the owner’s manual, this is probably the most boring and frustrating way to learn the program. A better way is to use some of the tools below.
- Quickbooks Video Tutorial Part 1 and 2 – In these Youtube videos, a professional bookkeeper walks you through the basic steps of using Quickbooks. Each video is roughly 10 minutes long. An older version of Quickbooks (2006) is used in the video, but since the basic features of Quickbooks remains the same year after year, this tutorial is still very relevant to users of current versions.
- Quickbooks for Dummies – One of the highest rated books on Quickbooks training, this book does an excellent job of covering all the bases without getting too overwhelming. If you are a basic user, you may not need this guide, but it covers a lot of ground and will have you using Quickbooks like an expert in no time. Priced under $20 at many online retailers, this book is one of the most economical ways to get up to speed with Quickbooks.
- Quickbooks Certification – If you are a professional bookkeeper, accountant, or anyone else who relies heavily on Quickbooks for their profession, you may want to take things one step further by obtaining a Quickbooks Certification. Many learning options are available, including online classes, live classroom training as well as training CDs/DVDs. In some cases, you can learn the required material for certification in as little as 2 days.
You will find some online schools offering expensive courses on Quickbooks. Such courses can often cost hundreds, if not thousands of dollars. They seem to target large corporations that can afford to blow tons of cash on exorbitant training courses for their employees. The majority of the time, we believe these courses are overpriced and not worth your money. As long as you get a few good books and have enough discipline to go through them thoroughly on your own, you should be able to learn the program fairly quickly, without breaking the bank.
